Client Retainers and Billing
Deliver client work and bill every hour.
Client Retainers and Billing connects an agency’s clients, client projects and retainers with timesheets, invoices, team capacity and project updates. New time entries are marked unbilled, sent invoices are marked overdue the morning after they fall due, active retainers are marked renewal due 30 days before they renew, and at-risk projects ask the account lead to agree a recovery plan.

Client Retainers and Billing assistant reads your records when you ask, cites the rows it relies on and suggests next steps. It never changes data.
Is it right for you?
Who it is for
For agencies and consultancies that want delivery, time and billing in one editable place. It follows the shape of Productive, Scoro and Teamwork, but it is an independent package, not an integration with those products.
- Track client projects, retainers, time and invoices in one place
- Flag overdue invoices and at-risk projects automatically
- Review project budgets, utilisation and retainer burn with evidence
What it does not do
There is no timer, payment processing or accounting sync. Invoices are records, not issued documents. The assistant cannot change budgets, send invoices or contact clients.
Getting started
After installing, these steps take you from example data to your own.
- After installation, replace the example clients, projects and retainers with your own.
- Log time against client projects. Entries without a billing status are marked unbilled so they are picked up at invoice time.
- Record invoices with due dates and keep project health current. Marking a project at risk logs an update and asks the account lead for a recovery plan.
- Start the review workflow to ask the read-only assistant about budget burn, unbilled time or overdue invoices.
Common questions
Does the package send invoices to clients?
No. Invoices are records for tracking amounts and due dates. Issue and collect them through your accounting tool.
Can the assistant approve a budget change?
No. It reads the package tables, cites the rows behind each finding and marks unknowns. An account lead decides the budget and makes any record changes.

Flag at-risk signals: hours near budget, overdue invoices, or a status of At risk. Never invent rates or hours.\n5.
