Event Planning

Run every event on time and on budget, with no task forgotten.

Event Planning gives each event one record with its vendors, task list and budget lines. New events open a venue-booking task and a run-of-show task, unfinished tasks are marked overdue the morning after their due date, and budget lines marked over budget ask the lead planner to approve the overspend or find a saving.

For event planners, office managers and marketing teams who run conferences, launches, offsites or private events and track them in scattered spreadsheets today.

What it does not do

The package does not contact vendors, send invitations, sell tickets or take payments, and it connects to no other tools. Budget totals are entered by people; it does not add them up for you. The assistant reads records and cannot change them.

Getting started

After installing, these steps take you from example data to your own.

After installation, replace the example summit with a real event and set the team timezone used by the overdue-task automation.
Create an event. The venue and run-of-show tasks are added for you; add the rest of your plan as tasks.
Record each vendor quote and booking, and enter planned and actual amounts on budget lines as costs firm up.
Start the review workflow to ask the read-only assistant what is overdue, unbooked or over budget.

Common questions

Can I track guest lists here?

Not out of the box. The package covers planning, vendors and budget. You can add a guest table in TulipFarm and link it to events.

Does the assistant book vendors?

No. It reads the package tables, cites the rows behind each finding and marks unknowns. The lead planner decides which vendors to book and makes any record changes.
